This Policy describes the process for selecting recipients of Engineering Society awards.

The Awards Committee is an ad-hoc committee and is not a committee of the Board of Directors. Awards are considered part of the executive authority of the Officers; this policy serves to suggest how that authority should be exercised.

This Policy pertains only to the awards listed in Chapter 1, and not the OSOTF "Engineering Society Award" in-course scholarship.

The President shall chair the committee. Alternatively, they may designate any other person as Chair. If that person is not otherwise a member of the committee, they will be an additional nonvoting member.

There shall be an open call for applications to fill the year representative positions on the committee. The application period should last at least one week. Committee members will be selected by the Officers by a method that they shall determine.

The committee shall be responsible for deciding the recipients of the awards listed in Chapter 1
0.2.3#
The nomination period shall begin no later than the Monday of the first week of March and stay open for at least 2 weeks.

Notice regarding the opening of the nomination period shall be sent out by email to the entire student body and by at least one other form of communication (posted notice, social media, etc.) at least two days prior to the opening of the nomination period.

Nomination forms shall be made available online throughout the nomination period.

Nominees may be nominated for multiple awards if they meet the criteria.
0.2.7#
All nominations shall be kept confidential. The committee shall not be given the names of the nominators.

The committee shall meet after the close of the nomination period to select the recipients of awards.
0.3.2#
Absentee voting or voting by proxy is not permitted.
0.3.3#
The chair of the committee may only vote to break a tie, unless they are a non-voting member in which case they may not vote.

Any member of the committee who is nominated for an award, or who is an executive of a group which is nominated for an award, or whose interest in the outcome of the award otherwise conflicts with the interests of the Society in awarding the award (as determined by the chair), shall recuse themselves from the discussion and voting on the respective award.

Awards shall be determined as if a resolution under section 0.6 of the Standing Rules of Order had been adopted, with the chair of the committee substituted for the Speaker of the Board.

The decisions of the committee are confidential until the awards ceremony.

The Centennial Award is given annually to one (1) person in first year and one (1) person in second year who demonstrate commitment and dedication to the Engineering Society through involvement in the Society’s activities.

The Semi-Centennial Award is given annually to one (1) person in third year and one (1) person on their Professional Experience Year who demonstrate commitment and dedication to the Engineering Society through involvement in the Society’s activities.
1.2.1#
The Award is given annually to one (1) person in fourth year who demonstrates commitment and dedication to the Engineering Society through involvement in the Society’s activities.
1.3.1#
The Award is given annually to one (1) person in fourth year who has demonstrated commitment and dedication to Skule life through extra-curricular involvement over the course of their years at Skule.
1.4.1#
The award is given annually to the best Engineering Society Discipline Club. Criteria for evaluation include the quality and organization of their dinner/dance, level of student involvement in the club, quality and organization of the Iron Ring Party, contributions to the Engineering Society at large, and the quantity and quality of any other events undertaken by the club itself.
1.5.1#
The award is given annually to the best Engineering Society Affiliated Club or Associated Entity. Criteria for evaluation includes the quality and organization of their events, amount of membership, inclusiveness of all Engineering Society members and their contribution to the improvement of the quality of student life.
1.6.1#
Awarded annually to one to three (1-3) Engineering Society Project Directors deemed to have done the best job with their respective positions. Criteria for this evaluation of nominees for this award includes improvement over the work done in the previous year, the overall success and organization of their respective committee and their personal contribution to the development of the Engineering Society through involvement at meetings and other general contributions.

The award is given annually to one (1) Class Representative and one (1) Board of Directors or Faculty Council representative for outstanding dedication and effectiveness in representing their constituency to the Engineering Society, the Faculty and the broader University community.
1.8.1#
Awarded annually to one graduating individual who has demonstrated commitment and dedication to their respective discipline club over the course of their years at Skule.
1.9.1#
The L.E. Jones Award is presented to a graduating student in the Faculty of Applied Science and Engineering who made a significant contribution to the arts within the U of T Engineering community. The award was previously part of the Engineering Alumni Network awards and established to acknowledge the contributions of L.E. (Ted) Jones, Professor Emeritus of Mechanical Engineering, over his long and distinguished career, to students, alumni, and the Faculty, as well as his continuing support and dedication to the Engineering Society and the Engineering Alumni Network of the University of Toronto. The award endorses Ted’s great appreciation of the arts and his love of music in particular.
